ON-SITE REVIEW
The on-site review is conducted by a team of
reviewers who will interview staff, board members,
contractors, volunteers, students and persons served, will
review the files as well as conduct on-site observations of
materials and facilities.
The team will be made up of your
CORE Support, one Team
Lead, and two or more Reviewers. These individuals will come
on site from anywhere between 2 to 5 days, depending on the
number and size of the programs that are to be reviewed. The
CORE Support will put together the schedule with the help of
the program to be used as a guideline for the timeframe.
A few days before the on-site begins, the Team Leader or the
CORE Support will contact the program with the names of
staff who will be interviewed and files to be reviewed, and
they will also review the schedule with the program. The
program will have the opportunity to choose the persons
served who will be interviewed. The team will try its
hardest to stay within the schedule and not keep
interviewees waiting, but the schedule can be changed to
accommodate anything that happens on-site. |

The on-site itself will begin with an introductory meeting,
in order to introduce the team and staff members, receive a
brief overview of the programs to be reviewed, ensure that
the lines of communication are clear, ensure that everyone
is using the same language and terms, review the schedule,
understand any issues that may influence the team, and
identify the program contact person available to the team.
When on-site, the team will require a private space to meet
and discuss findings, other spaces to interview staff and
persons served, access to telephones, and a designated staff
to be able to explain the way that files are organized,
respond to questions, coordinate interviews, locate file
documents, and direct the team to any pieces of
documentation that might be missing from the files.
It is the responsibility of the program to ensure that all
consents have been obtained from staff and persons served
before the team is on-site. This is important because if the
sample size is not large enough, CAC will not be able to
provide thorough findings.
When the on-site is complete, the team will conduct an exit
interview in order to share the findings, have the program
initial that they have read the On-Site Report, and discuss what
will happen after that point. A copy of the report will be
left with the organization and they will have a chance to
prepare a response within 30 days to be presented to the
Accreditation Panel along with the report. The review team
cannot grant accreditations to programs - only the
Accreditation Panel can do that. But the on-site will be
complete as soon as the report has been delivered and the
team leaves the program. |
